Audition Notification Forms
Notification of Audition Information
We will use your personal details only to send you the requested audition notice and any related audition information.
Once the audition notice has been sent, your personal details will be securely deleted or destroyed and will not be retained for marketing purposes.
Audition Attendance Registration
We will use your personal details solely for the purpose of managing audition attendance and scheduling on the day. Knowing how many people are expected helps us plan and manage the audition process effectively.
Your information will only be used for this purpose and will not be used for marketing purposes.

Auditions and Casting
If you apply or audition for a production, we may collect personal details relevant to the audition and casting process.
Successful Applicants
If you are successfully cast in a production, your details may be retained securely for the duration of rehearsals, performances, safeguarding, licensing, and production administration purposes and for a maximum of 2 years after the show. Information will only be accessible to authorised members of the production team and committee.
Your participation fee includes membership of Woodford Pantomime and therefore your details will be held as a member for the length of your membership.
Photos/Videos - By auditioning you understand and agree photos/videos will be taken during rehearsals and the show – these will be held by the society for future publicity across multiple platforms and media, and as a record of past shows.
Unsuccessful Applicants
If your audition application is unsuccessful, your personal details and audition information will be securely deleted or destroyed once the casting process is complete and rehearsals have started.
Ticket Purchases
Tickets for productions are sold and recorded through Ticketsource. This includes online, phoning the Box Office or emailing us to book.
When purchasing tickets, your personal data (name, address, email, phone number where provided) is processed and held by TicketSource. We hold this information for 5 years for the purposes of marketing messages from us, but we will only contact you where you have signed up to do so. After this time all personal data is automatically deleted by Ticketsource.
Marketing Emails
If you have previously purchased tickets for one of our productions, you may have chosen to receive email/post or SMS updates, show announcements, or marketing communications from us.
These emails may include information about future productions, auditions, events, and other theatre-related updates.
You can unsubscribe from marketing emails at any time by clicking the “unsubscribe” link included in any of the emails.
We will never sell or share your information with third parties for marketing purposes.
How We Store Your Information
We take reasonable steps to ensure personal information is stored securely and protected against unauthorised access, misuse, or disclosure.
